Am I biting off more than I can chew?

Hello,

I'm trying to organise a fun show locally ( Bethersden ) with really fun classes like obstical course jumping, horse and hound, fancy dress showing and mini puissance ( + loads more ) at really cheap prices ( £5 entries ) I've got a points scheme running throughout the day with £50 to the winner... Now here's the twist... I'm going to add a horses for sale section, people pay £15 and bring a detailed description of there horse for a commentator to read aloud, you get upto 10 mins in the ring to show off your pony. At the end of your show, potential buyers can approach you to ask any further questions, arrange a viewing or try your horse there and then. I'm also adding in an equestrian car boot sale along side it for people to buy / sell new and used horsey products.


So... Am I mad in thinking I can do all this in one day? I have loads of helpers etc but do you think it'll just be too busy?

My other concern is that I have planned for it to be on the 4th september....

Do you think it's possible? Xx
 
If you have loads of helpers I'm sure you can divide what you need to do between them should be possible! I hope so anyway I would quite like to go to this - sounds fun!
 
Sounds like a fun day with lots for everyone.

Have you got sufficient space so that people won't be falling over each other?

What about insurances etc? Just thinking about people trying other peoples horses, but on your land.

Are there any laws/restrictions regarding advertising/selling etc ?

Keep us posted though, as I'm quite local and looking for some fun things for that weekend, as one of my horsey friends has a birthday that Friday :)

You are brave! lol. sounds like a really fun show but A LOT of work/stuff going on. Most importantly make sure you have the right insurance sorted out. I know these days it can be quite expensive. They might request things such as risk assessments, it will be a lot of work. You will need a paramedic or ambulance/first aid cover definitely if you have jumping classes, the list goes on! lol. But it is doable if you have plenty of help.
Not sure about the horse sale thing though, might get some dodgy people wanting to sell all sorts, maybe something you'd want to consider! do you want your show to be associated with horse selling?? Just my opinion though.

It is allot to do in one day. I held a dressage and jumping day last year . You do need allot of people to help.



1. You will need tape to cordon off area you dont want light fingered people wandering into.

2. make sure you have a wash room .

3. some one to judge

4. some one to call the entries over when its their turn.

5. rope to cordon off the arenas.

6 . car park attendant to show where to park

7. some one to watch the entrance so you dont have lorries leaving and arriving at the same time.

8. someone to take the money for car boot

9. someone to take entry monies and give numbers to.

10. entry numbers they cost around £ 22 for 1- 100

11. obsticles for the races.

12. 1st aid on site

13. is there going to be st johns ambulance there?

14. if not you need to say this in the entry form.

15. make sure you get entry forms done ,

16 someone to do the jumping scores

17 rosettes

18 run score sheets ,

19 you need to find a commentator and all the equipment they need ( might cost)

20. you need a bell sound to start the races

21. refreshments - are you supplying these? and how much to sell

22 . make sure little bins are well marked as are arenas

23. work out the times of the classes etc

24 trophies

25 photographer

26 insurance
you need to say your yard holds no responsibility for accident damage to persons animals or vehicles while they are on the site
25 body protectors should be worn as are hats

26 have a time sheet worked out so who does what and where so helpers no what they are doing.

27 rules of entry etc.

Thanks leviathan... Have got most of that covered, just need to sort insurance. Have a qualified first aider on site, no ambulance though... Have stated on entry forms that hats to be worn at all times, body armour at your descretion. Also stated we accept no responsibility for any damage / injury to anything / anyone...

As for the selling thing, it's aimed at pony club type things, I won't be acting as an agent as such at all... It's just an opportunity as such for people to get their horses seen, I've stated in schedule that horses are nothing to do with me and that you try at your own risk. Vices etc are to be be checked by buyer and that I have no comeback. I guess people should be sensible enough to try on home turf too and not to just hand out money on the day...

It sounds like a brilliant day out and I dont live far away - i might come along as a spectator can you post up if this does go ahead with details of where it is?
 
Sounds great, wish there where things like that up here! I think if you get it advertised soon and have a good group of helpers it should be fine!!
