Leaving passports at your yard?

So I’m going to be renting the yard I’m currently on very soon, it’s a diy yard and I’ll be keeping it that way, just drawing up some contracts and I’ve put in that passports should be left in the tack room in a locked safety box (obviously everyone can access their own) having had someone read the contract for me they said everyone will get annoyed at that rule....surely it’s law to have passports left at the yard?
How many of you are required by your yard owner to leave them? Or how many would be inclined to keep them in your own possession? Are recent photo copies good enough? If there was any sort of emergency?
 
If they are DIY and easily contactable then there is no reason to hold them once you have checked them as they are readily available when required, in an emergency a vet will treat/ pts without seeing it as long as the owner is a client, if going as an inpatient one will be required but in that case I would expect the owner to be in attendance or to have brought the passport if it is prearranged and you are transporting the horse for them.

It is different if they are full liveries or if owner is leaving them in your care for a while then they should be held in a safe place.
 
I've actually never heard of passports being kept on a yard. I always thought the owners kept them at home.
 
Ah ok so it’s not essential, I’ve worked on full livery yards and all passports had to be left in the office, everyone at this yard live within 15 minutes of the yard, and I do tend to see to people s horses while they are away, so maybe I’ll just suggest they leave passports when they are going away?

Having been a yard that requires it, it can be a pain, every time you go to a lesson or competition you have to arrange to get the passport back. (Not easy as it sounds when locked in an office inside YO’s house, who is not the YM). Much easier for owner to leave the passport with yard only when needed, I.e. for vaccinations.

That is not acceptable as it is not easily available if you needed it to transport the horse in an emergency which is far more likely than the YO ever will, it should be with the keeper of the horse which in the case of DIY is the owner, I have never been asked for a passport by a vet when treating my liveries and as long as it can be produced within 3 hours that is fine with the enforcement agencies.

Fortunately we never needed to. Although I’m sure I read somewhere that in an emergency you can transport without a passport.
 
Given the amount of things that go walkies at most livery yards, mine would stay at home. It should stay with the keeper so at DIY that will be the owner, and I agree that having to fish them out for lessons and boxing to hacks would really annoy me.

Having had a bad run of luck with old horses lately, I can also say 3 different vets agreed to PTS withou asking to see a passport - and they'd never seen the three horses before, so I'm sure they wouldn't ask in an emergency rather than 'old horse is struggling' situations.

I don't insist anyone leaves the passports at the yard.
 
I've asked to see passport on arrival but also had photocopies kept at yard.
Never have I asked to keep passports, even my own ones are kept at home safely!

More importantly, have you included anything about end of life instructions? I think this is most important as you need to know owners wishes in the event that they cannot get to yard in emergency.
 
Only one yard I was at required passports be kept on site, said it was part of the organic scheme the farm was on or something, big livery yard, passports kept in a locked safe in office, pain in the backside to get them to go in and get you the passport for the vet etc.

Two other places only asked for photocopies, one big part/full livery yard and one DIY yard.
 
I would 100% not be having my passport anywhere else but in my personal possession (so my own home safe, or car)

If the horse is only DIY there would be no reason for the passport to be in the yard, they are only required for vets and travel, which i assume the owner would be with them for.
 
Of my four yards whilst an owner:

First: YO kept them. Horse on part livery.
Second: YO kept them, and when I started competing more I kept it in my travelling kit in the tackroom. She could get it if she needed it, I always had it for travelling. Part livery.
Third: I kept it. Part livery.
Current: YO has it. Full livery.

The passport should stay with the horse. I have no problem leaving it with the YO, or in a safe place. I would struggle to get to the yard to produce it on demand. Not that Inhave ever known that to happen ...
 
Always one which interests me. I don’t know anyone who keeps their passport on the livery yard, yet it is the law. With the person caring for the horse (so potentially livery yard) responsible and can be fined if it isn’t present.....

No way would I be happy leaving my passport at a DIY yard. Full livery I can understand.
OP says passports will be locked away but the liveries will have access. So will other liveries have access to my passport? Potential for theft / mix ups. You know what liveries can be like if there is a falling out.
I’d agree with the yard having a photocopy of the passport and the horse owners keep hold of the originals.
 
I have all my liveries passports, because they are supposed to stay with the horse. They are in the safe in my house, and I take the relevant ones up and hand them over to the owner if they need them.
 
I have always left mine in my car so its always where I am. I wouldn't like my passport left anywhere, I get anxious when I have to leave it in my manger for the vet to sign when they have done the flu and tet so I certainly wouldn't like the yard to have it all the time, but that's just me. At the last yard I was at the Y.O wanted to keep everyone's lorry/trailer key in a cupboard, I didn't think that was appropriate. She said if she ever had to move a lorry or trailer she would need the keys for lorrys or wheelclamps for trailers. Again I didn't think it was appropriate for the y.o to move other peoples vehicles either.
 
I keep mine in a safe place at yard so easy to take to shows, but I could tell someone else how to find it in emergency.

This is exactly what I do. Its in a box of various things I always take with me when I take the horse out (eg some 1st aid stuff, spare headcollar etc). I would never allow the YO/YM to hold it direct (could get lost, hard to get to, etc) nor would I want it at home in case I needed it.
