Our yard is seriously old fashioned! each month he works out on a calculator how much each client owes, looking through the livery book to see when and how many shavings bales etc were used! his feed prices are a bit guestimate I think!
Its madness really, then he gives them to use, or leaves them on horses tack or stable door!
ETS OOPS THIS IS JESSRULESDAWORLD DIDNT REALISE BETH WAS LOGGED IN!
ALWAYS GET SIGNATURES TO PROOVE YOU HAVE PAID! I got thrown out my old yard because i 'hadnt paid' even though i had so obviously i REFUSED to pay agaian and got thrown out! Should have had proof and i could have prooved it
Wel we dont get signictures but to be honest, me and beth work up the yard and are the main people at the weekends! they would never do anyhting like that! and plus there just honest people!
i have a hay/straw tracker that i write what i have ordered each week when its the last delivery of hay/straw for that month before (livery) payday i take it home & tot it all up, i have a hard copy of various 'forms' that i use to keep an eye on how much hay/straw i use each week/month. then when the bill arrives i compare the 2. each delivery the YO makes she makes a note of what we've ordered & then uses it to complete our bills.
i then use a duplicate book to write the dates the rent is for then how much hay/straw and a total. how i paid & when i paid. i staple the tear out bit to the invoice & keep it safe incase of disputes. the duplicate book is merely a record for me so i can go back in December 06 & see how much hay/straw he had compared to December 07
example of duplicate book
I pay my livery by monthly standing order. If I have any extras I usually just give the YO cash as and when I remember. They're not particularly organised on the money front at my place. Occasionally, the late payers get a reminder stuck to their stable door.
Yard owner'(farmer) wife makes up itemised bills on headed reciept, hands them out personally if possible but otherwise leaves at owners stable in a sealed envelope.Usually done pretty quick at beginning of month.
We don't get a bill but I put the cheque in an envelope, writ on who its from, the amount and what date the next one is due - its always the same every month though.
Don't get a bill and YO likes cash, so she gets it in an envelope with everything the I have had and had done for that money written on it, also I keep a book everything written in it.........never had any problems in the last 13 or so years......
I am on DIY and pay the livery charge for my stable by standing order every month. The charge is a set amount every month and was in my contract. I don't get a bill for this.
There is a book for everyone to write down when they take hay, staw, feed etc and then at the end of the month the YO adds it all up and leaves everyone a bill in the tack room.
