I eventually found the cancellation policy and it does indeed say space needs to be filled for a refund. We live and learn. I will be more careful in future!!
To be honest there are few things that you get your money back on if you just change your mind. If you bought theatre tickets then find you can’t go then you can’t just return them for a refund.

i think because we have got use to buying things online etc etc, with the returns policy this has become the normal thing to expect for a lot of people....................

I normally try to cancel up to 7 days prior as it gives them time to try and fill my space. If they cant or I have to cancel within the week prior then I generally have to accept forfeiting the money. It is a pain with horses as obviously things do happen, it kind of puts me off entering horse events in advance too as I cant afford to pay for an entry (which isnt cheap) then miss out. Ive avoided entering events all winter as I just cant risk losing my entry fee when the roads may not be good enough (Im NE Scotland and wont take trailer out if its at all icy etc.). I wish more events would still take entries on the day (at a higher rate is fine!).

I wouldnt expect to get my money back on an organised group event once less than a week beforehand. I would try hard to sell my place to someone else, and advertise it on facebook.

I enter competitions mostly on the closing date, to try and lessen cancellation issues. Unless I really want to go, and think might sell out.

Riding club / clinic lessons etc - a gap in the middle of the day causes such a hassle and organising is a thankless task, I would be sympathetic to organisers. Many of the stuff I organised in past, there wasnt enough margin to get an organiser discount, so you do all the hassle just to get the clinician / traininer you want in the place you want, and provide all the logistics it for others at no personal charge.

I have organised clinics for our local RC and it is such hard work and we essentially want the clinics to break even and not let the instructor down at the last moment. It is so hard to get the right mix of horses and level of riders etc - we want everyone to get the most out of the clinic, it is a thankless task.

I organise clinics for my riding club. All spaces must be paid for 5 days in advance, after that any cancellations must be paid for in full unless we / the rider fills the space. We often have a waiting list but not always. I'll advertise the spaces but won't add to my already long to do list ahead of the clinic by contacting people to offer it to them.

I think the issue here is the "might" cancel 6 days in advance but only actually cancelling a couple of days in advance.
Not sure I've written it clearly. I said to organiser nearly 2 weeks ago that I ' might' cancel. I have given 6 days notice as an actual cancellation. Either way its here nor there as no refund given unless space can be filled.

You are being clear, but might cancel means nothing, it does not mean organiser can look to re-fill the place. You have give 6 days notice of wanting to cancel. And less if you consider you gave notice over the weekend, and not everyone will be doing clinic administration on a weekend. Have you tried advertising the place amongst your friends and locally on social media? If you have to pay anyway you could even consider offering it for free to any friend interested? Or half price.
