Charity ride /sponsored ride where to start ?

Hi guys

A bit of advice please ....
OK I'm thinking of doing a charity ride at my yard and the farmer has agreed to it we have 160 acres of farm land of road .
and i was hoping to hold a event in September all proceeds to go
to the horse rescue center in my village ,
so guys what i need to know is what and how to start .
i would get st johns ambulance there for the day , have a tent with refreshments , and mark the route up with orange flags with people at markers at different points , i have somewhere to put all cars and horse boxes and toilets and il advertise in local shops and tack shops ect

and how much would you pay to enter ?
any advice or feedback would be great
if you have been on one or held one please feel free to post your experiences

When I went on one we had sponsorship forms and people who didn't get sponsored were asked to give a donation to participate. We also did it in fancy dress and their was a prize for the best dressed rider and the best dressed horse.
 
Do a shorter ride for kids on lead rein and nervous riders

Make sure you state things like hat to "x" standard must be worn. Riders must ask before passing other riders and must pass in walk. If it is private land would the farmer like all "poo" removed from where horse boxes have been parked.

Are you going to allocate start times if so people need to request at time of booking. If people want to ride as one group need to send all entry forms in one evelope.

Send a sae so you can send them there times or call you between certain times ona certain day

Will you have people round the route to make a note of people that pass them so you know everyone has made it home, if so you will need to allocate numbers

The rides I'm looking at doing this year have been £12 in advance and £15 on the day. Choice of rides i.e 5,8 or 10 miles optional jumps are nice, think of start times i.e 9.00 am to 1.00 pm so that you know when you last rider should be back. Looking at the enrty forms; all state there will NOT be a Paramedic, Vet or Farrier on the day perhaps there are legal reasons for this? Also all state you must sign a declaration that you will not hold organisers, helpers, landowners etc responsible in the event loss or damages to horse, rider or equipment, some require that each rider has their own public liability insurance.

Good luck - I may be able to offer support / help if needed, I'm in Norfolk but used to have a horse on loan from the Horse Rescue Fund (if that's who you mean)?
