Bit of a niche question here, but probably some of you may be able to make suggestions, as a competitor even if not show organiser!

I'm interested in finding a system that will handle online show entries. Doesn't need to be equine specific. The current system is bespoke/manual and hard work - I'm sure there is a super-duper all-singing etc system out there, I just don't know what it is.

It would be for an annual multiday show.

Ideal functionality:
Would allow someone to set up an account with their own log-in profile (doesn't need to be the rider - could be parent/instructor etc).
Would then be able to set up (or associate if already set up on another profile) multiple riders and multiple horses to their profile, each with a unique rider registration number and a unique horse registration number.
Would then add their unique qualification codes as and when gained - associated to a rider and horse set up their profile.
Once show entries opened, they would log in under their profile, enter the relevant qualification code, and that code would determine which classes they are eligible for (and if entries were still available).
For the entry options to work, I guess we'd have some kind of table/excel database in the background saying what codes allowed what classes?
Most of the above could be finalised and double and triple checked ahead of entries opening, but once they do open, it's a hectic race against time, hence the desire to get as much as possible in order beforehand.

Currently, it's an admin nightmare as people make so many errors on the entries. I've got things running well now with Excel doing much of the background work, but one thing Excel won't handle is using common sense to correct typos on horse names etc. We need to just have one reference to one horse, not seven references because it was spelt seven different ways! I want to eliminate the need for anyone to put their rider or horse name in more than once (i.e. when they initially register on the profile), and for the system to essentially do a look up to retrieve the name when the number is put in, but I'm guessing from a GDPR perspective, that it should only be able to be visible to whoever registered them, hence the need for a log in account. It also needs to be very easy to use and straightforward, as it will be for people that are generally inexperienced at doing show entries.

There must be something that does something similar to this, mustn't there? What about affiliated show/championships - they must need to have all the registration/qualification details etc?

Does anyone here have any experience of being a show organiser using an entry system like this, or even have any feedback as a competitor using a system like this?

(I don't think my involvement with this show is known about, but if you think you know, please don't say it, as I don't want my name to come up on searches for it - I'm very happy staying in the background with my spreadsheets!)

Speaking from the perspective as a competitor, all shows I go to use an online platform for entries/results, I know they are also used for clinics and unaff competitions too. The three main ones that I know of, are, Equipe, My riding life and Horse Monkey, but I'm sure there are many more out there.

From a competitor point of view showing scene is good. You can put in information such as ring plans and it tells you how many in classes, etc.

equo events & horse monkey, horse monkey is very easy from a competitor perspective but i dare say it’s one of the most expensive, being the most used

Horse Events is easy to use as an event manager, and the people who run have always been responsive and helpful when I have set up events that don’t fit their standard templates.

The dog agility and hoopers worlds use Agility Plaza, which is absolutely amazing. Works in real time when your at a show as scribes records faults, time etc and before you’ve even got the lead back on the dog your results are showing.

If you organise the show that I think you might, then it’s worth checking that their system won’t crash with the number of people logging on the enter at the same time (and you must have the patience of a saint!)

That's a very good point, thank you!

And I really am just in the background doing a bit of freelancing at entry time, not on the front line - the ones that deal with the FB questions really DO have (mostly) endless patience! 😂 They are all so invested in doing all they can to make the competitor's experience the best ever, it's lovely ❤️

Wow there are so many!!!! 😂

I know what I'll be reading this weekend then...!

Thanks all 🥰
Too blooming many! I find it really hard to remember which event uses which entry system. I've even started compiling a list on phone. I really need a 'scraper' type app now to collect all the entries in to one place!

My favourite one to use is Horsevents - it's quite basic to look at, but I find it straightforward to use. It stores my horse and rider details and reg numbers for myself and kids, compiles a calendar of entries made and you can also add possible future events to a list.

Horse events is great, I manage ours for my local pony club. Most people round my area use horse events, my riding life and horse monkey
